Quarry Management Software

A quarry runs on three systems that rarely speak to each other. The weighbridge knows what left the site. The accounting package knows what was invoiced. And the plant, the cartage and the compliance records sit somewhere in between, on paper, in a spreadsheet, or in one person’s head. TFO Software is the fleet and plant layer of quarry management software: the loaders, crushers, water carts and trucks, the dockets they generate, the servicing that keeps them running and the compliance record behind all of it, in one Australian-built platform

Where quarry management software ends and a fleet layer begins

Most software sold as quarry management is either a full extractive-industry ERP or a weighbridge and ticketing system. Both are useful, and neither manages your plant particularly well. TFO Software does not replace your weighbridge and it is not an ERP: it will not run your sales orders, your ledgers or your stockpile reconciliation. What it does is own the part those systems treat as an afterthought. Every machine and truck on one asset register, servicing counted down on real engine hours, pre-starts and defects captured in the pit, contractor cartage that is compliant before it reaches the gate, and dockets that reach the office the moment the work is done. Being straight about the boundary is the point. You should know what you are buying before you sit through the demo.

Dockets from the pit to the invoice

A quarry generates paper constantly: delivery dockets, cartage dockets, plant transfers, day dockets from subcontractors. Every one of them is unbilled work until it reaches the office, and a docket that goes through the wash is revenue you never invoice. The Digital Dockets module replaces the docket book with forms you build yourself, field for field, to match the ones your drivers already use. The driver completes it on a phone at the stockpile or the customer’s site, captures images and a signature, and the record lands in the platform time-stamped and tied to the job code. Dockets export as clean data before invoicing, so quantities are not transcribed off a smudged carbon copy a week later.

Contract cartage, site-ready before the gate

Most of the trucks moving your product are not yours. That does not reduce your obligation, and chasing a subcontractor’s licence renewals by email is not a system. FleetSafety delivers inductions, policies and safety content digitally before the driver arrives, configured per company, site or position, with questionnaires that confirm the content was actually read. Every licence, ticket, certification and permit is monitored centrally with alerts to administrators before it expires, and you can filter the workforce by licence or site to answer whether everyone on the job is current, on screen, rather than at the gate.

Chain of Responsibility at the weighbridge

A quarry loading heavy vehicles is a party in the supply chain, and the National Heavy Vehicle Regulator publishes specific guidance for owners and operators of weighbridges on those duties. Chain of Responsibility is not satisfied by intention, it is satisfied by evidence, and the evidence is the record: who was inducted, whose licence was current, what the truck was carrying and when it moved. Because inductions, licence checks and docket records are logged as a by-product of ordinary use, that due-diligence trail assembles itself as the work happens rather than being reconstructed after an incident.

The dust-control plant is plant too

Water carts, sprays and extraction gear are the controls standing between your crew and respirable crystalline silica, and Safe Work Australia lists quarrying and crushing among the work that generates it. A control only works while it is maintained. Put the water cart on the same asset register and the same service schedule as the excavator, give it a pre-start like everything else, and its inspection history sits on the machine rather than in a folder nobody can find. FleetMaint sets the interval per asset and counts it down on live utilisation, so a crusher feed loader and a light vehicle are not measured against the same calendar. When tracking is connected, the hours that trigger the reminder come straight off the machine.

Off-road diesel and the record behind the claim

Quarry diesel is a large cost and almost all of it is burned off public roads, which makes it the biggest fuel tax credits claim on the site. Fuel Logging ties every litre to an asset, logged by card, bowser or manual entry, and reports working, idling and inactive time per machine. The on-road and off-road split behind the claim then comes from recorded usage rather than a percentage nobody has revisited, and the loader burning noticeably more than its twin stops averaging out across the site.

Australian built, supported by the people who wrote it

TFO Software is developed in-house in Mooloolaba, Queensland, with hardware supplied and supported by the same business rather than resold. Key tracking hardware is designed and assembled in Australia and proven across construction, mining and even dredging, with non-powered assets such as water carts and site containers covered by a rugged, waterproof battery tracker. Every device runs on the 4G-LTE network, and a WiFi Tracker is available that connects over WiFi with the 4G-LTE network as its backup. Devices carry a 24-month warranty. The platform is modular, so you run the programs the quarry needs and add the rest as you go, on a subscription with no lock-in contracts.

Does this replace our weighbridge system?

No. TFO Software manages the plant, the cartage, the compliance and the dockets, and it is built to sit alongside a weighbridge rather than replace it. Because the platform is developed in-house, the team can talk to you directly about what your weighbridge exposes and how the two fit together.

Yes. Service intervals are set per asset and counted down on live utilisation rather than a fixed date, and when the asset is tracked the hours come straight off the machine telematics. Calendar-based intervals and maintenance are also supported where they suit the asset.

Inductions, policies and safety content are delivered digitally before the driver arrives, configured per company, site or position. Licences, tickets and permits are monitored centrally with alerts before expiry, so you can confirm a contractor is current without ringing them.

Key hardware is designed and assembled in Australia for durability and easy fitting, and has been used from typical construction equipment through to mining and dredging. Non-powered and exposed assets take a rugged, waterproof battery tracker, and all devices carry a 24-month warranty.

Dockets are completed on a phone in the field and land in the platform time-stamped and tied to the job code. Coverage varies by pit, so confirm the offline behaviour you need with the team during your trial.

No. The programs are modular, so you can start with the ones the quarry needs, such as the asset register, maintenance and dockets, and add tracking, compliance or fuel later. Pricing is built per module on a no lock-in subscription.
